Terms & conditions of YMCA Derbyshire Wrap-around care

To make a booking

Please complete the days you require on the online booking form. If you need extra days at any time feel free to call us on
07590 452827. A completed registration form must be received by YMCA Derbyshire prior to your child attending. This is so that we have the appropriate health details, emergency contact details et cetera. If your child needs extra support, limited one-to-one spaces are available and are allocated prior to the session starting: please do contact us.

Payments

All our payments are now dealt with directly by our finance department. Your booking will not be secured until full payment has been received. Full payment is required before your child can attend the session. Fees can be paid by childcare vouchers, debit or credit card, BACS, cash, or by cheque payable to YMCA Derbyshire.

Cancellations

It is important that all parties understand that we are a not-for-profit organisation and our budgets are planned before each session to allow full value for money. Because we have planned activities and staffing, we are not able to provide refunds for missed days. A credit note may be given if absence is due to an illness or injury when a doctor’s note is provided.

Safeguarding

With the aim of protecting all children, we have a Safeguarding Policy.

We have a responsibility under the Derby & Derbyshire Safeguarding Children Board to inform Children’s Social Care if we have concerns about a child. Any concerns are kept confidential and only shared on a need-to-know basis.

We would like you to tell us about any accidents that happen at home and we will let you know of any accidents that happen at our care provision. If your child has an accident at our provision, you will be asked to sign an accident form.

Complaints

We welcome feedback from parents/carers so that we may improve our service.  Feedback forms are available from the sign‐in desk.

If you have any concerns about the quality of care your child is receiving, please speak to the Co-ordinator.

If your concern cannot be resolved through discussion, you can send a formal written complaint to the Hazel Finch, Deputy Head of Training & Education at YMCA Derbyshire, 770 London Road, Derby DE24 8UT.

Our sessions will promote equality through their activities, books, toys, posters and displays.

Discriminatory remarks or behaviour are unacceptable.

Activities will be adapted wherever possible to meet special needs. If your child requires extra support at our sessions, please speak to the Co-ordinator.

What will my child need?

For safety reasons, please ensure that your child brings suitable clothing and footwear. No Heelies, open-toed shoes or flip-flops, please.

When appropriate, sunscreen should be applied before your child attends and we will encourage him/her to reapply it throughout the day. When appropriate, your child should also bring a sunhat.

Children are encouraged not to bring their own toys and electronic devices. Please be aware that if your child does bring such items that YMCA Derbyshire cannot be held responsible for any loss or damage to them.

Registration

The registration process is your opportunity to give us any information to help us provide the best possible experience for your child.

If your child has a serious allergy or medical condition, please inform the Co-ordinator. Please let us know of any changes to the information, such as emergency contact numbers.

Children must be signed in and out of the session each day. Please indicate on the sign-in sheet who will be collecting your child at the end of that day. Children will only be allowed to leave the session with the nominated person, who must be over the age of 16 years.

Food and Drink

Your child will be provided with food.  Please indicate on your registration form if your child is not allowed certain foods or drinks.

Drinking water is available all day but your child may bring his/her own named water bottle in preferred.

Activities

A wide range of activities is on offer; the children are free to choose from a range of options.

Sick children

Please keep your children at home if they have, or have had, in the previous 48 hours, any infection or sickness, or diarrhoea.

We can administer prescription medication with your consent.

If your child needs to use an inhaler, please ensure that this is labelled and kept with them so that it can be used as and when required.

If a child has head lice they must be treated before attending.

If your child becomes unwell or has a serious knock to the head or other accident whilst they are at the session, you will be contacted.
